Understanding .Pst Viewer Pro Export Profiles.

When viewing .pst files or .msg email messages without Microsoft Outlook, PstViewer Pro can’t be beat.  PstViewer Pro has many features that make it a great tool not only for opening Outlook emails, but processing them in various ways.  One of its powerful features is export profiles. Export profiles are instruction sets that can be customized in many ways to create specific solutions that help you get your email processing work done faster.What are export profiles?  When ever you select an email message and then choose a target format from the drop down list, you are interacting with export profiles.  For example, go to PstViewer Pro’s “Export” tab, and choose “Single PDF – attachments converted/included.”

“Single PDF” is in fact an export profile. You can customize this particular export profile, or any of the others that appear in the list.  You can also create your own by selecting “New Profile.”

Let’s see what options we have to modify the “Single PDF” profile we have selected.  Click “Edit Profile” and the profile editor screen will appear.  In the animated .gif below, we walk you through the various options that are available to customize this profile.

For this profile, it’s possible to change the export format from PDF to GIF, TIF, PNG, or any of the other target formats that are pre-built into PstViewer Pro.

You can indicate a custom page size and ortientation.

PstViewer Pro supports exporing to PDF in the ISO 190005-1 PDF/A standard.

You can tell PstViewer Pro to apply a custom naming scheme to the PDF files it creates.   Select “File Naming>Custom Naming Schema” and then expand by clicking the “…” box. This will bring up Export Naming Editor.

Export Outlook Emails From .PST To .TIF Files

Pst Viewer Pro is a flexible tool for converting email messages from Outlook .pst, .msg, .ost, or .eml format, into to many other file types.  
Although PstViewer Pro is most often used as a desktop tool, it may also be used in command
line or batch file automation processes. This article describes how to use PstViewer Pro
to convert Outlook .pst files to .TIF format using th ecommand line.
This week we have been working with
a customer on a .pst to .tif file conversion as part of a legal discovery
process. The conversion project required that Pst Viewer Pro be operated from a
batch file.The information in this article may be adapted to other PstViewer
Pro export profiles, such as TIF, GIF, MHT, EML, or any custom export profile
that you may create with PstViewer Pro’s profile editor.


The standard Pst Viewer Pro
installer package includes a utility called PstViewerConsole.exe. This is the
command line counterpart of PstViewer Pro.
There are many different criteria for
passing information to PstViewerConsole. These criteria are detailed in PstViewer
Pro’s internal Help document (Help>Help> User Interface > Command line
parameters). You can also view this document online.
Command line usage: PstViewerConsole.exe
[options] [<filename1.pst> [<filename2.pst> …]]
options may include the name of any of Pst Viewer Pro’s export profiles, like: 
“D:Program FilesEncryptomatic, LLCPSTViewer
ProPSTViewerConsole.exe” –e “TIFF” “C:pstfile1.pst”
In this example, PstViewerConsole
would use the export profile called “TIFF” to convert email in an
Outlook .pst file called “pstfile1.pst” into TIF files.

profiles, including the TIF profile, may be customized from within PstViewer
Pro by going to  Export>Export Profile>Edit Profile  and may include some very specific criteria,
such as how to name the resulting .pdf files, which file sizes to use, page
orientation, etc.

changes to that profile will apply whenever PstViewerConsole.exe calls that

name, and we needed to export to a specific path. To do this, first edit the
file naming scheme like in pictures below to add the message’s subject, sender
and date will be included in the file name.

Here is a tip: To set a
Windows path, you can create a custom folder tree structure based on any of the
fields if you separate them with “” symbol.

How to Recover E-mail Addresses From Outlook .pst Files?

Outlook .pst files contain a wealth of information that may be useful, not the least of which are the email addresses of recipients.  If you acquired a PST or OST file from your previous  place of employment, it may hold email addresses of people you want to remain in contact with.  Perhaps you are a forensic investigator and would like to obtain a condensed list of email addresses that the subject has contacted between a defined period of time. Or maybe a key sales employee has left the company, and now you need to obtain a list of people he has been in contact with by email.Pst Viewer Pro is a Windows desktop software package from Encryptomatic, LLC that gives you control over searching and extracting data from Outlook .pst and .ost files.  It can also manage .msg, .eml and .mht files. With Pst Viewer Pro, you can print, search, view, and extract email messages in many useful ways.  Among it’s many features is the ability to help you recover Outlook email addresses.In our lesson today, we are going to extract email addresses from an Outlook pst file that fall within a specific date range.  The email addresses will be saved to a comma separated values (CSV) file, which can then be imported into Microsoft Excel, Access, or your favorite database software for further processing and analysis. Bulk extraction of email addresses from a .ost/.pst file is a capability that does not reside natively within Microsoft Outlook.

To begin, first download and install Pst Viewer Pro 5.0 or later on your Windows PC.  The installer package will install either the 32 or 64 bit version of Pst Viewer Pro, depending on your Windows operating system.  A 64 bit Windows OS will allow the software to take advantage of larger amounts of memory and multi-threading, enhancing overall performance during the processing of your pst/ost file.

Start Pst Viewer Pro and using the folder navigation, select the .ost or .pst file from which you want to extract email addresses.

Choose the .ost or .pst file to open using the list.
Select the .pst or .ost file to export email addresses from.

Right click on the file and choose “Scan with subfolders.”  This tells Pst Viewer Pro that you want to read all of the emails in the file. If you have selected a very large .pst or .ost file, the read operation may take several moments.   If you only want to process a specific folder, such as the Sent Item’s folder and no others, then you can disable “Scan with subfolders,” and Pst Viewer Pro will only process the selected directory.

After the emails are read from the .pst or .ost file, they will appear in the mail list, which functions very similar to Outlook’s own mail list.   Click on any mail item in the list to preview it in the viewing pane.  Double click on the mail item to open it in a separate window. You can have multiple email windows open if you wish.

To initiate the export operation, first select all of the emails in the mail list. Click on the first item in the list, and then type “Ctrol-A” to select all emails in the list.

From Pst Viewer Pro’s toolbar, select the export profile titled “Export to CSV.”

Now that the email messages have been selected (highlighted) in the list, and the CSV export profile has been selected, begin the export operation by clicking the Export button.

You may be prompted to select the target directory where Pst Viewer Pro will save the .csv file. When the export operation begins, Pst Viewer Pro will show a status window so you can track it’s progress.

When the operation is complete, your Outlook email will have been copied to a .csv file. Click on the .csv file to import it into Excel, or your default Windows spreadsheet application. The end result will look like this:

Importing email to MS Excel through a CSV file makes it easy to search and sort the data using Excel’s standard features.

Viewing Pst Files Stored on Dropbox Cloud Service

Pst Viewer Pro is a flexible tool for viewing and searching Outlook email messages. The latest update includes the ability to open emails that are stored through the Dropbox email service.  Large PST files that are synched through Dropbox may be opened by Pst Viewer Pro.

To open a .pst file with Pst Viewer Pro from Dropbox, you would select the file from within the Explorer Tree folder view.  This is the the folder navigation structure that appears on the left side of your Pst Viewer Pro screen.

The navigation path would typically be Desktop > Computer > C:  > Users > {User Name} > Desktop > Dropbox

If a PST file is present in your Dropbox folder it will be visible in the file explorer. You can expand the pst file to show its structure. Click on a folder, and the emails in that folder will be shown in the maillist.   To see all emails in the pst file, click on the top folder of the pst file heirarchy.

This method also works for Google Drive, Skydrive and most other cloud services that replicate content from the cloud to your local drive.

How To Bulk Extract Email File Attachments from Outlook .MSG files

Pst Viewer Pro is a useful Windows software tool for managing Outlook .pst and .msg files.  With Pst Viewer Pro you can view, search, convert, reply and forward to emails, and extract file attachments to a folder.

If you have hundreds or thousands of Outlook .msg files on your computer, it may be useful to save a copy of those files some place where they can be indexed and more easily accessed.

This article will answer a specific question that Rob sent to us in the comment of a post recently:

“I have about 500 Outlook .msg files stored on a USB drive. How can I extract all of the file attachments to a folder so I can open them easier?”

Tools to Export Outlook Email From PST Files

Today we’ll examine two Windows software products that can export email from your Microsoft Outlook .pst file and turn them into pdf files.

Microsoft Outlook remains the most widely used desktop email client in the world. For all of Outlook’s great capabilities, it’s not very useful for exporting email and converting it to a different format. For example, in Outlook 2010, the native export capabilities are limited to saving email to a text file, an Outlook template, or a single Outlook .msg, html or mht file.

While it is possible to export a small quantity of selected emails to text format, this quickly becomes a tedious chore. You can export a large quantity of emails to MSG format by selecting them in the mail list,  then dragging them out of the Outlook mail list and dropping them into a Windows folder. Yet exporting from Outlook to other formats are limited to a single file, and no control is provided  over the naming of the exported files.

Two products that can improve your experience with exporting Outlook email  are:  MessageExport add-in for Outlook, and PstViewer Pro.   These products are both similar in their functionality, but yet quite different in their approaches.  For example, while MessageExport works from inside Outlook, Pst Viewer Pro works independently of Outlook.

MessageExport is an add-in that is tightly integrated with Outlook. It expands Outlook’s capabilities to to bulk export email to the following formats:

CSV (Excel)

MessageExport is very strong with Outlook to PDF conversion. You can tell MessageExport how it should handle the email file attachments, such as embedding the attachments as separate files within the PDF document, extracting the attachments, or converting them into the PDF image.  There is also support for ISO 190005-1, the international standard for email archiving to PDF.

MessageExport includes a scheduling feature. You can use it to run any export profile on a recurring basis. The timer can be set to run based on the number of minutes, such as 5 minutes, 60 minutes, or 600 minutes.

MessageExport gives you a lot of control over configuring the Outlook email export operations. All of the selections that you see in the drop down list are customizable in important ways, including the target folder for export, and how the resulting files should be named.

While exporting thousands of emails from Outlook, it may be desirable to apply a special naming plan to the resulting files. MessageExport has you covered, allowing you to create complex combinations of naming schemes with 28 different pieces of information from the email and connecting characters. For example, you could create a name that includes the sender’s email address, sent date, and time received down the he second.  There are virtually limitless combinations.

How to Extract File Attachments from an Outlook PST File?

PstViewer Pro is a viewer for Outlook .pst files, but did you know it can also extract file attachments from thousands of emails stored in an Outlook .pst or .ost file, and save them to a folder on your hard drive?  This article will show you how.

First, you’ll need to download a trial of Pst Viewer Pro and install it on your Windows computer. After you do that, continue reading.

When we say “extract” file attachments from email, what we really mean is “make a copy of the file attachments and save them to your hard drive.” Pst Viewer Pro won’t delete the file attachments from the emails in your Outlook .pst file. Those files will still be attached to the emails, but at the end of the process you will also have a copy of those email file attachments in an accessible folder, where you can open and view them easily.

Start Pst Viewer Pro, and use the Search function to locate the email files that you want to extract.  For example, if you want to extract files from all emails in the Inbox, then click on “Inbox” in Pst Viewer Pro’s .pst folder navigation structure. It will look like this:

Next, after the emails have been listed, click on the email file list and type “Ctrl-A” to select all emails.

Click the “Export” icon from the main toolbar. It’s the icon with the green arrow pointing at yellow paper.

This will pop up the email export manager.  Choose “Only Attachments” from the list, as in this image, then click Start to begin the export process. You may be prompted to select a folder on your computer where the file will be stored.

Pst Viewer Pro will go to work copying your email file attachments from
emails to your folder. When it’s finished, you will have a very full
folder, with lots of files in it.

Pst Viewer Pro lets you customize any of the export profiles. An export profile is simply one of the named selections from the Export Manager drop down list. For example, “Only Attachments” is an export profile.

If you wish, you can customize “Only Attachments” by selecting it in the export manager and clicking the small “Edit” icon.  This will reveal the guts of the export profile.

There are many settings you can change in any export profile. For example, you can tell Pst Viewer Pro to give a specific naming structure to the attachments it exports from the Outlook .pst.  You can select a specific destination folder that will always be used.
