Export Outlook E-mails From a .PST File To A .CSV File

Email content all around us, yet is surprisingly difficult to convert into different formats. A specialized tool like PstViewer Pro will enable to accomplish many different conversion tasks with email. One useful capability it posses is to take a selected quantity of email messages and convert them into a neutral format which is easily imported into spreadsheet or database applications. 

This article will discuss how to use PstViewer Pro to accomplish the conversion of email messages to a .CSV file which can be imported into Microsoft Excel.  CSV stands for Comma Separated Values.  The CSV file that PstViewer Pro creates will contain multiple email messages, converted to text, with each row in the Excel spreadsheet representing a single email message.  

PstViewer Pro can access emails from Outlook .pst files, and even email that exists in a single-file form, such as .eml or .msg format. You’ll find that the process of converting email from .Pst to .Csv is exactly the same as converting from .Eml to .Csv, and .Msg to .Csv.

When PstViewer Pro starts, select the specific .pst file you wish to access, or a folder that contains the .eml and .msg files you want to convert to .csv.

Select the files in the mail list that you want to convert into a .CSV file.  Using the “Ctrol-A” command will select all of the emails in the list.   You can use PstViewer Pro’s “Search” menu to refine the list to a specific set of email messages. 

When the messages are selected, go to the Export tab, and select the “CSV” export profile from the drop down list.

Now that you have selected the emails, and the CSV export profile, begin the export operation by clicking the “Export” button, and select the location where the CSV file will be saved.

The final step is importing the CSV file into Microsoft Excel. In most cases, opening the CSV file in Excel is is as simple as clicking on it.

Pst Viewer Pro is a flexible tool for converting email messages from Outlook .pst, .msg, .ost, or .eml format, into to many other file types.  
Although PstViewer Pro is most often used as a desktop tool, it may also be used in command
line or batch file automation processes. This article describes how to use PstViewer Pro
to convert Outlook .pst files to .TIF format using th ecommand line.
This week we have been working with
a customer on a .pst to .tif file conversion as part of a legal discovery
process. The conversion project required that Pst Viewer Pro be operated from a
batch file.The information in this article may be adapted to other PstViewer
Pro export profiles, such as TIF, GIF, MHT, EML, or any custom export profile
that you may create with PstViewer Pro’s profile editor.


The standard Pst Viewer Pro
installer package includes a utility called PstViewerConsole.exe. This is the
command line counterpart of PstViewer Pro.
There are many different criteria for
passing information to PstViewerConsole. These criteria are detailed in PstViewer
Pro’s internal Help document (Help>Help> User Interface > Command line
parameters). You can also view this document online.
Command line usage: PstViewerConsole.exe
[options] [<filename1.pst> [<filename2.pst> …]]
options may include the name of any of Pst Viewer Pro’s export profiles, like: 
“D:Program FilesEncryptomatic, LLCPSTViewer
ProPSTViewerConsole.exe” –e “TIFF” “C:pstfile1.pst”
In this example, PstViewerConsole
would use the export profile called “TIFF” to convert email in an
Outlook .pst file called “pstfile1.pst” into TIF files.
Any of PstViewer Pro’s export
profiles, including the TIF profile, may be customized from within PstViewer
Pro by going to  Export>Export Profile>Edit Profile  and may include some very specific criteria,
such as how to name the resulting .pdf files, which file sizes to use, page
orientation, etc.

After a profile is customized, the
changes to that profile will apply whenever PstViewerConsole.exe calls that

name, and we needed to export to a specific path. To do this, first edit the
file naming scheme like in pictures below to add the message’s subject, sender
and date will be included in the file name.

Here is a tip: To set a
Windows path, you can create a custom folder tree structure based on any of the
fields if you separate them with “” symbol.

Combining .msg E-Mails into a PDF File

PstViewer Pro is a email viewing application for Microsoft Windows that provides strong email conversion capabilities. One of it’s most useful features is the ability to combine email files such as Outlook .msg files, into a .pdf file.

There are several ways to accomplish this task with PstViewer Pro, depending on what your goals are.  The easiest way to combine msg to pdf is to use the +PDF button on PstViewer Pro’s main toolbar. This function will allow you to add any .msg file selected in the mail list directly to a new or existing .pdf file.  Click on the email in the mail list, and then click +PDF

Click on the email in the mail list, and then click +PDF.  The “Save As” dialog box will open, and you can then select the .pdf file.

The .msg file you selected will be converted and added to the end of the target pdf file. If no pdf file is selected, PstViewer Pro will create a new
one for you.

You may add as many .msg (or even .eml files) to the target PDF file.  .Msg files may be added individually, or you can select multiple emails from the list. This functionality was specifically added to PstViewer Pro at the request of a customer who needed to add messages to a single pdf file as they were discovered,

PstViewer Pro can convert multiple .msg files to .pdf.  To select all .msg files in the mail list, type “Ctrol-A.”  The next step is to select the export profile from the PstViewer Pro drop down list.
There are many different modes of export to choose from.

The different modes of export include options for handling email file attachments (should they be converted to PDF or embedded within the pdf), and whether .msg files should be converted into individual .pdf files or all combined into a single .pdf.

Bulk Converting Outlook E-mail to PDF Files: Two Software Products To Get the Job Done

PDF portable document format is great way to future-proof Microsoft Outlook email messages for archiving purposes. This article looks at two software products that will help you bulk convert Outlook messages and their email attachments into pdf format: Pst Viewer Pro, and MessageExport, an add-in for Outlook.

In the realm of email conversion software, file attachments are often ignored or extracted and saved to a hard disk.  Pst Viewer Pro is able to convert the most common attachments into the PDF image. If they are unable to be converted, attachments will be embedded as separate files so that the context of the file to the email will remain intact.

MessageExport Add-In for MS Outlook
MessageExport is an add-on for Outlook that is also developed by Encryptomatic LLC, the creators of Pst Viewer Pro.  MessageExport is tightly integrated with Microsoft Outlook 2003/2007/2010 and 2013. It works with 64 bit or 32-bit versions of Outlook.

MessageExport can be used in a variety of useful ways, such as processing entire folders of emails to PDF and other formats. MessageExport’s timer function lets users setup a regular process that can be performed on a folder directory. For example, say I want to convert all emails I receive from you to PDF, and then have them moved to a specific folder on my network drive.  Using Outlook’s Rules function, I can move all emails from you into a specific folder. Then, I can have MessageExport process all emails in that folder to PDF and save them to my network.  MessageExport will only process new emails, and can remember those that it has already converted to .pdf.

Using MessageExport, you can convert thousands of emails to PDF. There is no pre-defined limit on the number of messages that can be processed.

How to Recover E-mail Addresses From Outlook .pst Files?

Outlook .pst files contain a wealth of information that may be useful, not the least of which are the email addresses of recipients.  If you acquired a PST or OST file from your previous  place of employment, it may hold email addresses of people you want to remain in contact with.  Perhaps you are a forensic investigator and would like to obtain a condensed list of email addresses that the subject has contacted between a defined period of time. Or maybe a key sales employee has left the company, and now you need to obtain a list of people he has been in contact with by email.Pst Viewer Pro is a Windows desktop software package from Encryptomatic, LLC that gives you control over searching and extracting data from Outlook .pst and .ost files.  It can also manage .msg, .eml and .mht files. With Pst Viewer Pro, you can print, search, view, and extract email messages in many useful ways.  Among it’s many features is the ability to help you recover Outlook email addresses.In our lesson today, we are going to extract email addresses from an Outlook pst file that fall within a specific date range.  The email addresses will be saved to a comma separated values (CSV) file, which can then be imported into Microsoft Excel, Access, or your favorite database software for further processing and analysis. Bulk extraction of email addresses from a .ost/.pst file is a capability that does not reside natively within Microsoft Outlook.

To begin, first download and install Pst Viewer Pro 5.0 or later on your Windows PC.  The installer package will install either the 32 or 64 bit version of Pst Viewer Pro, depending on your Windows operating system.  A 64 bit Windows OS will allow the software to take advantage of larger amounts of memory and multi-threading, enhancing overall performance during the processing of your pst/ost file.

Start Pst Viewer Pro and using the folder navigation, select the .ost or .pst file from which you want to extract email addresses.

Choose the .ost or .pst file to open using the list.
Select the .pst or .ost file to export email addresses from.

Right click on the file and choose “Scan with subfolders.”  This tells Pst Viewer Pro that you want to read all of the emails in the file. If you have selected a very large .pst or .ost file, the read operation may take several moments.   If you only want to process a specific folder, such as the Sent Item’s folder and no others, then you can disable “Scan with subfolders,” and Pst Viewer Pro will only process the selected directory.

After the emails are read from the .pst or .ost file, they will appear in the mail list, which functions very similar to Outlook’s own mail list.   Click on any mail item in the list to preview it in the viewing pane.  Double click on the mail item to open it in a separate window. You can have multiple email windows open if you wish.

To initiate the export operation, first select all of the emails in the mail list. Click on the first item in the list, and then type “Ctrol-A” to select all emails in the list.

From Pst Viewer Pro’s toolbar, select the export profile titled “Export to CSV.”

Now that the email messages have been selected (highlighted) in the list, and the CSV export profile has been selected, begin the export operation by clicking the Export button.

You may be prompted to select the target directory where Pst Viewer Pro will save the .csv file. When the export operation begins, Pst Viewer Pro will show a status window so you can track it’s progress.

When the operation is complete, your Outlook email will have been copied to a .csv file. Click on the .csv file to import it into Excel, or your default Windows spreadsheet application. The end result will look like this:

Importing email to MS Excel through a CSV file makes it easy to search and sort the data using Excel’s standard features.

Converting Email Files to .JPG Image Files

PstViewer Pro is an email view for Microsoft Windows. It provides a wide range of formats for converting email messages. This video shows how to use PstViewer Pro to convert .msg or .eml email files into .JPG image files.

Text or fully formatted html emails can be converted. If embedded email graphics are hosted remotely, PstViewer Pro will attempt to download those files to provide as a complete a rendering as possible.

PstViewer Pro includes a range of target export formats besides .jpg, including .pdf, .gif, .tif, .png and others. The conversion process is essentially the same for other file types as it is for jpg.

Step 1. Select the email or emails that you want to convert from the mail list.

Step 2. Choose the target export format from the drop down list. In this example, we’ll choose “Export to JPG.”

Step 3 is to click the Export button, and select a folder location to hold the .jpg files.

That’s it’s! Now you can format email messages into jpg images.

How To Convert Outlook .MSG And.EML Email Files To .CSV Files

PstViewer Pro software by Encryptomatic LLC is a versatile tool for managing your email content.  It supports viewing, searching and exporting different mail formats, including Outlook .msg emails, or Outlook Express .eml formatted messages. It can also access emails stored in .pst or .eml format.In today’s lesson, we will export the contents of .msg and .eml emails into a comma separated values file, better known as a .csv file.A .csv file can be imported into Microsoft Excel or a free spreadsheet program such as offered by Open Office or Libre Office. Clicking on the .csv file is usually all that is required to have the file imported into your spreadsheet.

Why might you want to import your email messages into a spreadsheet?

Spreadsheets give you a lot of control over the data. You could, for example, import thousands of email message to .csv format, and then organize the recipient email addresses in the spreadsheet. You could use those email addresses to send a personalized mailmerge message to those email addresses.

When PstViewer Pro starts, first use the folder nav on the left to select the location of your .msg or .eml files. PstViewer Pro supports mixed content viewing, so it won’t matter if all of your messages are in a single folder.

Next select the messages you want to export to CSV format. Click on any message to select it.  To select multiple .msg or .eml files, hold down the Windows control key. You can also select a range of messages by holding the shift key.   Control-A will select all of the messages in your list.

After your messages are selected, you can export them to a single .csv file.  Go to the Export tab, and select CSV.

The last step is to click the Export button to being the export process.

The major fields in the .eml and .msg files you selected will be converted to .csv format.

Click on the CSV file to open it in your default spreadsheet application. We are using Microsoft Excel 2013 in this example, which appears on our desktop like this.

If we click on the .csv file, Microsoft Excel will import it and display the data in columnar format. Later when we save this file, we can choose to save it as an Microsoft Excel formatted document.

Combining the basic informational fields from emails into an spreadsheet gives you greater control over using that data and allows you to setup mail merges and combine it in useful ways.

There is no pre-set limit to the number of email messages that you can export to .csv format in the licensed version of PST Viewer Pro.  However, if PstViewer Pro is operated in trial mode, there is a limit of 50 emails per export operation.
